Bank statement PDF to QuickBooks

How to turn a PDF bank statement into the 3-column CSV QuickBooks Online accepts, and why the file has to balance before you import it.

QuickBooks Online imports bank transactions from a CSV in a specific shape. If your bank only gives you a PDF - which is most banks, and almost always the case when a client sends you their statement - you need to get from one to the other without retyping.

The format QuickBooks expects

QuickBooks Online accepts a three-column CSV:

One amount column, with negatives for money out. Not a debit column and a credit column - that is the layout most PDF statements print, and converting between the two is where manual work usually goes wrong.

Why the balance check matters before you import

Importing a statement that is missing rows is worse than not importing it. The transactions look plausible, they reconcile against nothing, and the error surfaces weeks later when the account will not agree.

So before the file is handed to you, every transaction is summed and compared with the statement's own opening and closing balances:

opening balance + sum of transactions = closing balance

If that does not hold to the cent, the conversion is flagged and you are not charged. A file that reconciles is one you can import without checking every line by hand.

Steps

  1. Download the PDF statement from online banking - not a screenshot, not a printed page.
  2. Upload it and check the verdict on the preview.
  3. Click QuickBooks CSV.
  4. In QuickBooks Online: Transactions → Bank transactions → Upload from file, choose the CSV, and map Date, Description and Amount.

One period at a time

Convert one statement per file. A statement's arithmetic only closes inside its own period, and that check is what tells you nothing was dropped. Merging three months into one file throws that away - and QuickBooks will happily import a file with a hole in it.

If you only have paper

Scans and clear photographs work; the transactions are read with OCR. On a faded scan the balance column often cannot be read, and with nothing to check against the conversion is delivered free and clearly marked - spot-check it before importing.
